Write Word and PDF documents

What it does

The assistant can write a letter, a one-page summary or a document with a table and hand it over as a Word (.docx) or PDF file. The file appears as a card in the reply, and you download it from there. It cannot produce the old Word format .doc.

This page is about new documents. To change a Word file that is already in the conversation, ask for the change in plain words; see Chat: Generated files and Code interpreter.

How to ask

Say what the document is for and name the format: "as a Word document", "a PDF". Below are three prompts you can copy and adapt. Each prompt was run on the three Myra-hosted models, ten runs each. A run counts as passed when the file the assistant delivered opens as a real Word or PDF file and contains the facts named in the prompt, and the reply does not report a failure or a defect in the file; the table shows how many of the ten runs passed.

Tips

  • Name the format: "as a Word document" or "as a PDF".
  • Give the facts you want in the document: names, figures, dates.
  • If the time format matters, say which, for example "24-hour clock".
  • If you want a table, say "table".

Limits

  • The old Word format .doc is not produced, and neither are the old .xls and .ppt formats. Ask for Word (.docx) or PDF.
  • If the assistant saves the content as text under a .docx or .pdf name, it is turned into the real document when you download it; if that is not possible, the error appears at the card instead of a broken file. Files the assistant builds in the sandbox are real files from the start (see Code interpreter).
  • You can also get a Word or PDF file from a reply that is already in the chat: open the Download menu on the reply and select Download as Word or Download as PDF. The menu says so when a format does not fit the content.
  • When the assistant changes a Word file you attached, the headers, footers and floating text boxes are not changed, and the file can be at most 8 MiB. A generated file can be up to 25 MiB.
  • The prompts above were checked on Myra-hosted models with one example each. A reworded prompt or another model can behave differently, so open the file before you send it on.

When something goes wrong

  • The assistant says it made the file, but there is no card. The notice No file was created. appears with a Create it now button. Use it.
  • The times in the letter are not in the format you want. Ask again and say which, for example "24-hour clock".
  • The reply only shows the text. Ask again and name the format: "give it to me as a Word document".
  • The card shows an error when you download a file the assistant saved as text. The conversion to the real document was not possible. Ask the assistant to write the content again, or download it as plain text.
